MPP Archive Complies with ‘Ten Golden Rules of Archiving’

July 28th, 2009 New Rochelle, NY – The German IT trade journal, c’t magazin fuer Computer und Technik, published an article in its June 2009 issue entitled “The Ten Golden Rules of Email Archiving”. These guidelines were compiled by the German Association for Organizational and Information Systems to help enterprises implement legally compliant archival systems. Email archiving is now a legal requirement that all German companies must implement in order to comply with regulations promulgated by the German Tax Authority, among other government agencies. In addition, email has recently been elevated to discoverable evidence in disputes and judicial processes if it can be proven that the email was stored in a tamper-proof repository and could not be altered by the end user.

The ‘Ten Golden Rule of Archiving” [Zehn Goldene Regeln in German] are:
1. Each document must be securely stored in accordance with legal and organizational requirements.
2. No email may get lost either on the way to the archive and in the archive itself.
3. Each email must be archived at the earliest possible moment from an organizational standpoint.
4. Each email must be an exact replica of the original email and be archived in exactly the same form.
5. Each email must be accessible to only the original receiver or sender.
6. Each email must be retrievable within a reasonable period of time.
7. Each email must be purged from the archive as soon as possible at the end of its retention period.
8. Every other action concerning the operation of an email archive must be governed by rules that are clearly documented.
9. The entire organizational and technical construct of the archive must be auditable by a third party at any time.
10. Every migration or change in the archive must conform with all the proceeding rules before it shall be undertaken.

Mailspect MPP Adopts Sphinx Index Engine

Leading Email Archiving Solution Adopts Sphinx, a free Open Source SQL Indexing Engine Offering Scalable Archive Search and Fast Retrieval.

After thorough testing of the leading Open Source index engines, Mailspect Inc. has selected Sphinx as the search and retrieval engine for MPP, the Message Processing Platform. Sphinx is an Open Source project founded and maintained by Andrew Aksyonoff of Voronezh, Russia. It was designed from the ground up to integrate seamlessly with SQL databases and scripting languages. In addition, the Sphinx project is obsessed with performance in terms of speed and CPU density. According to the Sphinx website, it can handle email stores of up to 100 million documents on a single CPU, can index incoming content at the rate of 10MB per second and offers very, very fast query retrieval times. The scalability and speed of the product are evidenced by its adoption by leading service providers like Craigslist, an affiliate of Yahoo! Jeremy Zawodny, a software engineer at Craigslist, has written an excellent article about Sphinx in Linux Magazine, in which he states that Sphinx removed the ‘invisible glass ceiling’ in MySQL’s full-text indexing performance.

Mailspect MPP aka Message Processing Platform Fixes Email Storage Problems Challenging Standards-Based Mail Servers

Mailspect has released a new module of MPP Archive – MPP Green –  to address email storage issues faced by standards-based mail servers.  This capability is ideal for service providers and enterprises who need to reduce storage volumes by up to 80%, provide full-text searchable email archives and increase client access speed.    MPP Green extends MPP’s real-time email archiving capabilities to IMAP email as well as email stored in standard mbox and MailDir formats.

Email volumes are exploding.  According to the Radicati Group, “E-mail Security Market, 2008-2012”, corporate e-mail is projected to increase from 156 per user/day in 2008, to 233 per user/day in 2012, or almost 50%.  Though the average email is relatively small at 25KB, large attached files such as documents, presentations, photos and videos can rapidly fill up a mailbox and cause it to crash or run slowly.
